UX writing in the age of AI: ⚙️

How is your approach evolving?

In my most recent open chat, Hanna Honcharenko asked me whether writing UX content has changed with AI tools becoming more prominent.

I can only give a perspective that’s based on my experiences, of course. I’ve seen AI evolve into a decent thought partner, but it’s not close to being a replacement for critical thought from a human. 

For me, AI has been good about providing suggestions for making a string more concise, for example. Or, if I’m stuck, it can provide options that can serve as decent sparks of inspiration.

However, AI lacks the ability to consider all the nuances of a situation such as consistency within a flow, style guidelines, empathy concerns, etc. 

My main quibble with AI tools at the moment when it comes to writing UX content is that they always seem to provide suggestions to “improve” upon the original version, whether or not those suggestions are actually improvements. Often, they’re not. 

That’s why I think human eyes and brain power will be needed in this job for a long time. 

As long as you know the limits of AI, which you quickly begin to grasp as you use these tools more, it can be decent for what it is. I’d encourage any content designer to experiment and learn the boundaries of what they consider to be acceptable. 

But, overall, AI isn’t a replacement for intentional human thought.

3 observations after building an AI agent: ⚙️

Good, frustrating, and surprising. 

I’ve been building an AI agent for one of my common tasks at Sage. 

This agent would replace having to enter the same translation prompt for each piece of content for the 5 languages my team supports. 

After hours of experimentation, I’m almost at a point where my formatting preferences are being presented as desired with the initial output. 

It has been an interesting journey, though.

Here are a few thoughts based on what I’ve experienced.

The good: Building an agent within an LLM—for me, Microsoft Copilot—seems more intimidating than it actually is. The most important thing was thinking critically about my daily tasks and defining an area of opportunity for an agent to make life better. I’ve learned that process takes time and quite a bit of experience with specific tasks in specific environments. You have to enter the situation with a desire to fix something about what you do regularly. That’s not always a natural mindset. 

The frustrating: The agent doesn’t always do what you tell it to do. Writing instructions for an agent reminds me of trying to teach a toddler something. You can instruct the agent to “preserve all formatting from the original version,” but it will turn bold text into italicized text, numbered lists into bulleted lists, etc. Sometimes, you have to be specific about what you *don’t* want it to do. That’s achieved through trial and error. 

The surprising: I’ve started to think about use cases for new agents. Building one agent can serve as inspiration for more, which is pretty cool to consider.

Memories and new beginnings: 🧳

Time passes. We remember. 

There’s a mall that I visit in the Atlanta area occasionally. I was there a few days ago. Whenever I walk past a group of chairs on the second level, I remember the events that led to many things in my current life. 

All these years later, I recognize how formative specific moments can be. 

Back in summer 2016, when I was living in Florida, I was about a year into freelancing. For months, I had searched for a full-time journalism position. 

One day, I received an email that invited me to an interview in Atlanta for a multimedia reporter job with a sports website. 

Naturally, I accepted. 

A few days later, I flew an hour north and took a train from the airport to a station near the office. I was wearing a suit. I was a little nervous. 

I arrived a few hours before my interview was set to begin. The sun was up. People were making their way to work and beyond. I walked to a mall nearby to pass the time.

Eventually, I slid into a chair, similar to the one you see below. 

I don’t remember the thoughts that passed through my mind at that moment. However, I can make a few guesses. 

Likely, I was hoping the opportunity before me would mean the end of a strange, formative year after my first layoff. It was full of uncertainty with too many rejections to count. 

I had tried to change careers. But, over time, I came to realize that taking another journalism job would be the smartest and most practical thing to do at that time. 

I ended up getting that position. I moved to Atlanta less than a month later. 

That morning set into motion so many events. A different life. An eventual career change. A new home.

It’s interesting to think about the person who sat in that chair more than 9 years ago. It’s also interesting to consider the progress made. 

In some ways, I wish I could tell him that everything would be OK and that, in many ways, things would be better than what he had known. 

Life can push us in interesting directions. But if we keep moving forward, we end up where we’re supposed to be.

🌟 Welcome to December! Believe it or not, we’re in the final stretch of 2025. If you’re like me, there aren’t many “normal” weeks of the year left. I’ve wondered about when the appropriate time is to make something a next-year thing at work. To me, anytime after the first week of December is fair game to bump something to the following year. What do you think?

🌟 Have you adjusted to the time change? I’m in slightly better shape than I was a week ago, when I wrote about my situation: lnkd.in/eHhKRkJt. Still, it hasn’t been easy. I’ve also noticed that I don’t adjust well to time zone changes when I travel for a few days. An interesting thing about getting older is that you accept erratic sleep schedules as part of life 😅

🌟 Today, I woke up to the first truly cold morning of the fall. I don’t mind the occasional blast of cold air, but I’m happy I don’t have to deal with it regularly. The more I experience, the more I’m convinced mild temperatures are the best temperatures throughout the year. (Sorry if you like snow or hot summers.)

🌟 Here are things I don’t miss using often in cold weather, ranked: 1. An ice scraper, 2. A snow shovel, 3. Salt for a driveway or sidewalk.

How do you stay organized?

Gratitude for small, impactful moments: 🦃

They matter. 

Like some of you, I had a short workweek. I signed off Tuesday afternoon and won’t be back online until Monday. 

Overall, the hours before I broke away were rather routine. I attended a few meetings, completed tasks from my to-do list, and tied up loose ends. 

Then I met with my manager for our one-on-one chat. 

Toward the end, he told me to sign off by 4 p.m.—or even earlier, if I wanted. 

I joined Sage in April, and this invitation to end work early has happened a few times. In my experiences with other jobs, these small-but-meaningful moments can be rare.

Comfort within a position is hard to describe, but you know it when you have it. 

If you’re far enough into a career, and you’ve experienced a variety of situations, you learn a positive culture isn’t guaranteed or even a default to start. 

I recognize that a constructive situation must be curated and maintained, with intention. 

I could name other examples from my situation related to this. 

My manager and I have talked about me avoiding work at night. It’s a habit from previous jobs that I’ve found hard to let go, especially if I want to keep my momentum going with something. 

It can be easy to move past these moments without giving thanks that they exist. 

This far into my working life, I realize they’re worth the gratitude they deserve.

There are a few details that are incorrect, or more clairification is needed, about what’s shared about me. 

This isn’t a new lesson by any means, but it’s good to remember that we shouldn’t take everything packaged for us from multiple sources at face value.

During my walk into work this morning, I spotted a sign of the season. 

I appreciate that Santa is keeping it old school and encouraging letters instead of messages or emails. 

That’s inspiration for us all, I think.

Inspirations from change:🚦

It has helped me to remember a few lessons.

In my most recent open chat, Carlo C. asked me what has inspired my career journey. 

For as long as I can remember, I’ve wanted to write for a living. I’ve also had a creative kick. 

I built websites as a kid. I journaled in the early days of social media. I worked for my hometown newspaper when I was in high school. I went to college for journalism.

If I had to break things down, my professional life has had 2 acts.

I spent about a decade in my former career before falling into content design after a career change.

I was more idealistic—ambitious, even—in that first act. 

I’ve spent time thinking about ambition and why we gain or lose it, given significant events we experience. Overall, I have a healthier perspective with more personal balance today. 

I’ve learned adaptation and resilience can be strong themes throughout our careers. They’ve certainly been strong themes for me. When you think about it, so much about adult life comes down to basic survival, regardless of our environment. 

We only have so much control over where our professional lives take us. So it’s wise to stay humble and curious, keep an open mind, and find good situations and mentors when we can.

Over the years, I’ve learned it’s worth keeping job descriptions if you’re part of an interview process. It makes sense while you’re interviewing, of course.

But if you’re offered a position, a job description has lasting value.

For my past few jobs, I’ve repurposed the descriptions to include within my resume and LinkedIn profile.

The edits take no more than a few minutes. I’ve never used AI for this task, but I imagine a simple prompt with context could handle this easily as well.

Trying something new at work: 🔦

It’s nice to dust off old skills.

A little more than a month ago, I pitched a new initiative at work.

We have an internal site that’s read by members of my cross-functional team at Sage. 

I thought it would be fun to drive a Q&A series that highlights product managers. This series reveals insights about their interests, lessons learned from the previous fiscal year, what they’re focused on for the upcoming year, and more. 

I’ve completed a few of these now. I schedule short video calls, take the transcript and refine quotes using AI, add relevant links, and build out the page. 

The process reminds me quite a bit of my journalism days. That life for me is long gone. But it’s nice to know familiar skills can resurface to provide value in unexpected places. 

I think that’s a good lesson to keep close.

Hybrid commute habits: 🚗

They’re more science than art.

A few months ago, I settled into a routine schedule for traveling into the Sage office. 

During a normal week, I come in on Monday, Wednesday, and Friday. 

It’s interesting to consider that I developed this schedule based on what I’d like to avoid.

If I can help it, I don’t want consecutive commute days.

I’ve learned Tuesday, Wednesday, and Thursday generally have the worst morning traffic and the most people in the office. Of that span, Wednesday is the most acceptable as far as finding an open desk in the office by 9 a.m. 

Friday offers the best combination of an easier morning commute and plenty of open space in the office. (The drive home in the afternoon is busier than other weekdays, but that’s a different story.)

I didn’t have a plan when I started my hybrid life earlier this year. But it’s revealing to learn what we value as we experiment with different schedules.

Letting the stars come out: ⭐️

I’m trying to make this a habit. 

We have a nice initiative at Sage where we can recognize colleagues for something. It’s called our STARS program.

Over time, we collect points from recognition and use them to shop for merchandise, gift cards, and experiences. 

I’ve had similar programs at my other stops along the way. But I’ve never been too intentional about setting aside time each week to participate. 

I’m trying to change that this quarter. 

For the past month, near the end of each week, I’ve written a quick note or 2 about something that stood out to me over the past few days. This takes no more than 2-3 minutes.

A bonus: The manager of the person who receives the compliment is notified.

I’ve learned, if you set aside time, it’s easy to write something that can lift someone. 

I think that’s worth it.

🌟 Do you feel a pull to build AI agents for anything outside your work life? I thought about that question after writing the post about what I observed while building an AI agent that would replace one of my common tasks on the job: lnkd.in/ewEcNwUD. I haven’t experimented with agents for use in my personal life, but I can see the possible benefits. What about you?

🌟 Wait, Thanksgiving is next week? I don’t know about you, but the end-of-year holiday season is flying in fast for me. An interesting observation: I have fewer Thanksgiving traditions now than when I was growing up. I don’t know what that says about me or modern life in general, but I’m curious whether you’ve noticed something similar. 

🌟 Here are things I enjoy eating on Thanksgiving, ranked: 1. Sweet potatoes, 2. Pie, 3. Turkey.
