Rebuilding and refining the financial operations of a quickly growing home services company headquartered in Charleston, South Carolina, USA. Work directly with the CFO and have ownership of the full Accounts Payable lifecycle. Help this company refine their AP processes for scalability, build out and better use their NetSuite instance, and ensure that vendors are paid on time.

AP Specialist

Victor International Corporation

•Maintained all vendors files in our accounting software including Michigan and British Virgin Islands
•Streamlined task; instead of printing invoices, then hand scanning them, I proposed we saved them as a PDF on our computers, save in a shared file and worked from there; adding the PDF invoicing/approvals to the accommodating file to then be uploaded into our accounting system.
•Once approved and uploaded I added the invoice to the vendor’s file in QuickBooks where it was marked for payment, and carried out approval and checks for weekly pay runs.
•Sent out 2023 taxes via certified mail in-office.
•Very high volume processing; for MI and BVI combined approximately 400-500/wk. via email.
•Reached out and set up new vendor's W2s/COI/any tax exemptions as well as switching as many vendors as we could to add ACH/Wire payments by including forms in their mailed checks.
•Received approximately 600 emails a day; some invoicing and others inquiring on why invoicing was not paid and internal employee questions concerning their projects

 ●  Worked directly with our warehouse using 3-way match billing 
 ●  Within the ﬁrst month implemented a new process that would eliminate matching paper 
 invoicing to the PO, creating a much easier way to scan the papers electronically to our internal folders.

Mission Veterinary Partners

•	Perform daily accounts payable activities including uploading, coding and processing high volume of invoices and statement reconciliation for over 24 clinics nationwide
•	Transition vendor accounts from clinic ownership to MVP accounts; including over approximately 7-10 utility accounts per clinic (I was responsible for 24 clinics)
•	Provided daily support to veterinary clinic Practice Managers for training in newly implemented accounting software (Palette/Sage/Bill.com) including how to upload, review, approve and track all invoicing
•	Communicate with accounting and acquisition teams, including weekly reporting progress with uploading contacts for utilities into Accounting Software to pay in time and avoid past due notices or any interruptions of service

Chase Plastic Services, Inc.

•	Managed the accurate and timely processing of up to 1500 plus invoices for vendors and non-material material payments
•	Created check payments of $75k plus a week as well as 2 weekly EFT payments totaling up to $10 Million weekly
•	Consistently maintained accuracy in calculating figures and amounts such as discounts and credit/debit memo applications
•	Demonstrate effective oral and written communication skills and can communicate to a variety of different audiences
•	Highly detail-orientated to work with our vendors and internal sales/buyers to resolve any invoicing/Purchase Order issues quickly and accurately

•	Entered and reconciled high volume of vendor invoicing and credit memos with focus on PO matching and returned merchandise
•	Used 3-Way Match system for invoicing verification and approvals for customer’s direct shipments and provided proof of delivery for direct shipments
•	Billed customer freight chargers from 3rd party carriers
•	Balanced daily transactions between Accounts Payable and General Ledger
•	Collected and complied data to generate monthly report for vendor error tracking

•	Ran monthly financial reports for Upper Management’s review for weekly check runs

•	Collected all approved vendor invoicing for our corporate office, as well as the additional 7 subsidiaries and entered into accounting system (SAGE)
•	Ran weekly reports, paid credit card vendor invoicing and cut checks for remaining vendor invoices
•	Processed average of 1,000 - 2,500 invoices a month totaling over $250-400K in billing
•	Reconciled vendors accounts monthly to be sure there were no errors
•	Paid all expense reporting for entire firm of over 300 employees
• Created improved process for approval of invoicing to be paid electronically, then uploading the files to an archival system to lessen the amount of paper used and the possibility of losing any documents
