APIs love to say "200 OK" even when things are not really OK.

Here is the situation:
- You get a positive reply
- You push that lead into Clay
- Clay creates a Company in HubSpot
- Then creates a Contact
- Then creates a Deal

Then tries to associate all of them

On paper, this looks perfect.

In reality, HubSpot needs a bit of time to catch up.

So Clay gets a successful response for "create contact" and immediately triggers the next column.

That next column tries to associate the Deal with the Contact and Company.
But HubSpot has not fully propagated the contact yet, so the contact ID is not available.

Result: the association column errors out even though the previous step "worked."

In the video I walk through a simple way to fix this by adding a delay between column runs in Clay so that:

HubSpot has time to fully create and populate the records

The next columns can reliably find the IDs they need

You stop chasing random, flaky errors in your workflow. Automate a fix.

Inbox placement determines whether your outbound campaign lives or dies.

You can write brilliant cold emails and build perfect prospect lists. But if your messages land in spam, none of it matters.

Most B2B companies lose 40-60% of their outbound volume to spam filters. The culprit is almost always poor domain reputation, missing authentication records, or sudden volume spikes.

Here's what actually works:

Set up proper authentication. SPF, DKIM, and DMARC aren't optional. Configure them correctly or expect delivery rates below 50%.

Warm your domains gradually. Start at 5-15 emails per day per inbox. Increase by a few weekly. Jumping straight to 30+ daily sends destroys sender reputation.

Monitor bounce rates religiously. Anything above 2% signals list quality issues. Above 5%, you're actively damaging your domain.

Use multiple inboxes to distribute volume. One domain sending 500 emails daily raises red flags. Ten domains sending 50 each looks normal.

The companies generating consistent pipeline from cold email treat deliverability as infrastructure, not an afterthought. They know reaching the inbox is prerequisite to every reply, meeting, and deal that follows.

Fix your inbox placement first. Everything else depends on it.

December is not dead, it is planning season.

If you paused outbound for the holidays, read this first.

We sent an email on Dec 17 and got a “send it over” reply.

That is the real pattern we see in late December.

A lot of people are slower to reply, but the ones who are working are reviewing strategy, setting budgets, and picking vendors.

Competition also drops because so many campaigns get paused.

So we keep most campaigns running until Dec 23, unless the client wants a different schedule.

We do not expect replies on Christmas Day, and we do not send on the actual holiday.

Our simple rule is “send while they are planning.”

Here is the playbook we use.
Step 1: Keep sending to your best-fit accounts through the 23rd.

Step 2: Use softer asks that match planning mode, like “Want a quick plan for Q1?” or “Worth a look before budgets lock?”

Step 3: Accept that some emails will get buried, and plan to recycle those leads in a few months anyway.

For the US, we tend to be a bit more aggressive with this because more owners stay online during the holidays.

For Europe, we tone it down sooner because more people fully disconnect.

But in our tests, real replies in this window are the best proof that deliverability is not the main limiter here.

The takeaway is not “always send in December.”

The takeaway is “do not auto-pause without a reason,” because December can be a planning month, not a dead month.

What signals do you look for to decide whether to keep outbound running during the holidays in your market?

Replies aren’t revenue.

What happens after the reply is.

Most teams obsess over the opening line.
Almost no one optimizes the first reply.

At LeadHaste we call it the Post-Reply Gap.
It’s the leak between “sounds interesting” and “on the calendar.”

Here’s the simple math I show clients:

100 positives → 20 booked → 16 shows → 3–4 deals.
Drop booking to 10% booked and you get 1–2 deals from the same replies.
At 5% it can be zero.

The fix is not fancy. It’s operational.

Fix 1: Respond fast.
Aim for claim in 5 minutes and first reply in 15 during business hours.

Fix 2: Stop sending calendar-only.
Mirror their question. Add one line of value.
Offer two or three manual times and include your calendar as a fallback.

Fix 3: Follow up twice.
+24h with a small value add.
+48h to pause or pick a time.

Fix 4: Make showing up easy.
Confirmation same day. T-24h, T-2h, T-10m reminders.
Short agenda. Access link above the fold.
