Personalization is overrated. Relevance wins every time in cold outreach.

Everyone is busy debating how many merge tags and custom openers they can cram into one email.

I care about one thing:

Did your email land in the inbox and speak to a real problem
or did it die in spam with a cute first line?

Here is how I write and run cold email today 👇

First, I focus on the basics:

- Short copy
- Conversational tone
- Clear value prop
- Zero fluff

For inboxing, I aim for 40–50 words on "Others" and O365.
On Google, you can stretch to 70–80 words.
Once you pass 80 words, your risk goes up. Deliverability starts to suffer.

I do not send links.
I do not send images.
I do not send fancy signatures. 🚨

You think you are selling with that case study link.
You are really selling yourself to the spam folder.

For copy creation, I start with founders and clients.

Nobody knows the value like:

- The person who built the product
- The people who pay for it

I ask clients: “What do you pay us for? What changes in your week?”
Their words become the raw copy.

Then I bring that long copy into AI.

My flow:

- Write everything out in my own words
- Drop it into Claude
- Ask it to remove fluff and compress under 80 words
- Keep the human voice, lose the noise

On personalization:

I do not care where you live or which football club you follow.

Those details do not fix a broken funnel.
They do not change inbox placement.
They do not make a weak offer strong.

I see personalization as a multiplier, not a base.

First I test:

- Different value props
- Different segments
- Different pains

When I see one angle win, I take that structure into Octave or similar tools and let them add smart personalization on top. But don't overdo it

If you have nothing that works, there is nothing to multiply.

Relevance to their world > a clever line about their last post.

If your cold email feels more “I see you” than “I help you”, you are doing it wrong.

Here's why your cold email strategy needs to change right now:

Gmail's Gemini filters are personalizing every inbox based on what each person actually cares about.

Your inbox looks completely different than mine. And generic feature dumps? They're getting buried.

I've been on back-to-back calls lately where teams think their deliverability is broken.

We run live placement tests. Emails land in Primary. No spam folder.

Then we look at the copy.

Feature lists. Product explainers. Walls of text about "how it works."

It reads like a landing page, not a message to someone with a real job and real problems.

Here's what Gemini is actually scanning for:
— Does this email talk about something this specific person needs?

If you're addressing a pain point they've searched for, bought tools to solve, or engaged with content about? Gemini sees that as relevant context and lets you through.

If you're feature dumping like everyone else? You get filtered out with the noise.

So here's the shift:

Start from one question: what hurts in this person's day?

A Sales Director in SaaS, agency, or fintech? They all care about the same thing first: hitting revenue targets.

That pain connects them more than industry ever will.

Someone said it best: "Sell the cocktail in the Bahamas, not the flight ticket." 

The filter isn't looking at your infrastructure. It's looking at whether you understand the person you're emailing.

Later this week I'll share the exact framework I use to map pain points by role and company size before I write a single line.

What does your cold email lead with: pain points or your product?

25–99 mailboxes per domain on Azure?
That “genius” scaling trick just took a lot of people offline.

Another day, another deliverability drama. This one started with Pax8. They’re legit. Solid provider, real licenses, real infra. But someone saw a way to squeeze “cheap” volume out of them and built a business on top of it.

Here’s the pattern. They buy Microsoft mailboxes through Pax8. Then they spin up 25–99 inboxes per domain on Azure. Then they package that up as a “service” for cold email teams. At first, it looks like a great deal. Clean M365, decent price, lots of volume. Then it spreads.

They didn’t stop at selling to end users. They sold to resellers. Those resellers sold to more resellers. A reseller of resellers of a reseller. And everyone down the chain thought they’d found the secret sauce to scale sending without paying real infra prices.

From the outside, it feels like one of those YouTube “infinite money glitch” videos. Just add more tenants, more mailboxes, more domains. But it’s all sitting on one weak point: an upstream provider that never signed up to be a gray-market cold email engine.

Then the music stops. Upstream notices abuse. Licenses get pulled. Tenants get flagged. Overnight, a lot of users woke up to dead mailboxes, broken warm-up pools, and campaigns bouncing while they wait for “support” that suddenly went quiet.

I’ve said this many times, and this story proves it again. Email providers are not stupid. They are actively closing loopholes. They will always catch up. When your whole outbound engine depends on a loophole staying open, you are already in danger. 🚨

You need infrastructure that doesn’t vanish because a reseller’s reseller got nuked. No panels, no hacks, no “hope this keeps working.” Just stable, boring, compliant email that still inboxes and survives the next crackdown.

Pax8 Incident

ESP matching sounds smart. But it’s a trap for most teams.

Most people read a blog, hear “match ESP to ESP” and think it is a simple win.
Microsoft to Microsoft. Google to Google. “They trust their own, so it must inbox better.”

On paper, it sounds great. In real life, it often burns your infra faster.

Here is what actually happens.

Let’s say you send 30 cold emails per mailbox per day.
You split it: 50% to Google, 50% to Microsoft.
That means each ecosystem really only sees 15 emails per day from you.

Now you turn on ESP matching on a Microsoft inbox.

Suddenly, those same 30 emails are all going to Microsoft recipients.
You just doubled your volume for that ESP overnight - from 15 to 30.

On Microsoft, that is where the pain starts.

Microsoft was already tougher when they raised BCL (bulk complaint level) and tightened spam filtering, although it's getting easier in 2026.

Inbox placement was less about warmup volume and more about domain age and IP reputation.

So when you crank volume on a single ESP, you are telling Microsoft:
“Hey, I am a bulk sender now.”

That is when you see:
– Faster spam folder issues
– Reputation drops
– Shorter lifespan for that domain and mailbox

In my experience, if you insist on dedicated Microsoft sending, you need to cut volume in half /mailbox.

Most Microsoft setups are safer in the 10–15 cold emails per day range.
Push 20–30 and you usually hit problems sooner, especially with newer domains.

This is why I am not a big fan of strict provider matching.

I prefer mailboxes providers that can contact everything, across Google, Microsoft, and others, like a swiss army knife, and still perform. Like MI ;)

You get cleaner data, easier scaling, and less surprise throttling.

If you are running ESP matching today, take whatever “safe volume” you heard… and slice it in half. Especially on Microsoft recipients.
