As reporting matured, calculated fields quietly became the biggest performance and maintenance risk. Many reports worked correctly, but relied on deeply nested calculations that were evaluated row by row at runtime, which made execution slow and difficult to troubleshoot.

I focused on simplifying how calculated fields were designed and evaluated.

Where possible, I reduced nesting by flattening logic and eliminating cross referencing between calculated fields. Instead of chaining multiple lookups, I aligned calculations to the correct business object so they evaluated once per row instead of repeatedly through related values.

Evaluation context became a key consideration.

Calculated fields were reviewed to ensure they executed at the lowest necessary level, avoiding unintended row expansion or duplicate counts. Conditional logic was structured to short circuit early, preventing unnecessary evaluation of complex expressions.

I also separated display calculations from data logic.

Formatting and labeling logic was removed from core calculations so functional fields could be reused across multiple reports without rework.

The result was clear.

Reports became easier to maintain, runtime stabilized, and small calculation changes no longer caused unpredictable downstream effects.

Workday reporting reinforced an important lesson for me
Calculated fields should simplify reporting, not quietly control its performance.

As reporting volume increased, the real issue showed up in how Workday evaluates reports, not how many existed. Reports returned correct results, but only after heavy runtime processing that didn’t scale well with growing worker history.

Many reports were built on higher level business objects and relied heavily on related value lookups. I re anchored reports at the lowest viable business object and restructured aggregation to occur before joins and expansions, which reduced row processing significantly.

I also tightened prompt behavior by replacing open ended prompts with constrained defaults, preventing unnecessary historical scans. Sorting and grouping were aligned to base fields instead of runtime calculated fields to further reduce execution cost.

The result was more predictable runtimes, easier maintenance, and reports that scaled without constant refactoring.

Workday reporting reinforced an important lesson for me
Performance is driven by evaluation strategy, not report count.
