Responsible for all admin tasks in small accountancy firm including:

Health & Safety / Facilities Management – review, update and maintain policies, carry out risk assessment and take action accordingly, arrange for regular test of alarm systems and electrical equipment, keep relevant keys (internal and external), liaise with management agency regarding maintenance and cleaning issues.

Reception Duties – filing (manual and digital), postage (date stamp & scan of incoming and franking of outgoing), petty cash (for office and Managing Partner), hospitality, incoming/outgoing phone calls and management of Managing Partner’s emails.

Archiving/Shredding/GDPR/AML – responsible for archiving system (recently updated due to GDPR regulations), ongoing shredding of 1000s of files (including sourcing of shredding companies), recycling and scanning.  Reviewing and updating of digital document management system to reduce paperwork held in archive. 

Social Media/Marketing – responsible for maintaining, updating and tracking for social media platforms ie Twitter, Facebook, LinkedIn and Instagram.

Office Manager

Education Authority (Northern Ireland)

General Admin – minuting meetings, typing for Principal/Director/Partners, SMT and Governors, screening calls/emails/post, teleconferencing, ordering stationery and liaising with suppliers, revising/researching procedures to ensure optimum efficiency in office, line manager to admin staff.

Events/Advertising – assisting with preparation of school open evenings, tours, induction days and meetings (Governors, Parents, External Agencies), including collating relevant paperwork, flyers, prospectus and adverts. 

Reprographics – photocopying, scanning, printing, binding, monitoring use of toner and staples and ordering as required, recording and dealing with maintenance issues.

Financial Management - Cash/cheque management, maintaining financial records (written and electronic), processing orders, deliveries, invoices and credit notes on bespoke school FMS system.  

HR – maintaining staff records, assisting with selection and recruitment, identifying training needs and maintaining staff training plans, organising CPD training for professional staff, submitting timesheets, dealing with leave (sick, annual, maternity/paternity), organising staff appraisals.
